Google Sheets is where a lot of freight still gets managed: the lane rate table procurement updates each quarter, the carrier register with insurance dates, the monthly reconciliation AP builds by hand. Connected to Cargofy, those sheets keep their role and the copy-paste stops: Cargofy reads the mapped ranges and writes rows back. Procurement or AP usually asks for it, and IT shares the spreadsheets with the connected identity.

Price a quote from the rate table procurement owns

Procurement keeps the contract lane rates in a sheet, and dispatch's copy tends to drift. With Sheets connected, the rate table is read from the mapped tab into Freight Procurement. When procurement changes the Chicago to Dallas dry van rate, the Sheets trigger picks up the row and the lane updates. The next quote in Sales for that lane uses the new number, from the one table the negotiator owns.

Keep the carrier register in the sheet you trust

The sheet owner adds a carrier row to the register: contacts, equipment, insurance expiry. The Sheets trigger picks it up, and Cargofy writes the carrier into Carrier Network from the mapped range, with no import or re-keying. When a digital worker next assigns a carrier to a load, the new carrier is there with the contacts and terms from the sheet. The dispatcher reviewing the assignment in Load Hub sees the insurance date the sheet holds.

Reconcile carrier invoices without rebuilding the month

AP spends the last week of the month matching invoices against what was booked. The digital worker appends a row per delivered load to the reconciliation sheet: load number, carrier, booked rate and invoice amount from Finance. The AP clerk filters for rows where the two differ. The sheet stays in the format finance uses, and the numbers arrive on their own.

Give the ops report to people who live in spreadsheets

The site manager wants a daily load list in a sheet, not another login. As loads are booked, delivered or invoiced, the worker writes or updates a row in the reporting sheet you map. The manager's pivots and charts sit on top and refresh from the rows, so the list stays current.

Apply a rate change the day it is negotiated

A renegotiated lane rate can take a week to reach the people quoting it. Because the trigger watches the mapped sheet, the edit is applied when it is made and logged in Cargofy with the worker that ran it. Procurement changes the row on Monday morning, and the quote sent at noon carries the new rate.

How it fits your stack

The load stays in Cargofy; a sheet is an input or a mirror, never the system of record for loads. Cargofy reads cell values from mapped tabs and ranges for rates and carriers, and writes load, status and invoice rows to reporting and reconciliation sheets. Setup is per installation: your admin issues credentials in your own Google account and shares the spreadsheets, and column mapping is agreed at scoping. It runs through Cargofy's n8n layer. Only cell values are read; formulas, formatting and charts are not.
