Approved carriers work its freight on the Loadsmart loadboard, in the Loadsmart mobile app and inside CarrierGuide, Loadsmart's truck management software: sort thousands of loads by pickup, destination and rate, book instantly at the posted price, or bid and get an answer in seconds. Connect your Loadsmart account and those loads appear in Load Hub with your email and exchange loads. The dispatcher who books Loadsmart freight usually switches it on.

Set the backhaul once

A twelve-truck dry van fleet runs Chicago to Columbus outbound and needs freight back. The dispatcher sets an auto-search in Load Hub: Columbus to Chicago, dry van, pickup Friday, up to 20 t. A digital worker reads the Loadsmart loadboard under the fleet's own account, using its pickup, destination and rate filters, and sends a notification when a load fits. The load card opens with lane, dates, equipment and the instant book price.

Catch a recommended load early

Loadsmart surfaces preferred lanes and load recommendations for each carrier. At 07:05 an Indianapolis to Nashville load appears among them, and it lands in the Load Hub table next to loads from email and exchanges. The dispatcher sorts by deadhead, sees it is 40 km from a truck that unloads at 10:00, and moves on it.

Book instantly at the posted price

Loadsmart loads carry a price the carrier can book on the spot. When it works, the dispatcher clicks book, and the digital worker prepares the booking under the fleet's Loadsmart account with truck, driver and dates. It is sent only after she confirms. In Load Hub the load moves from open to requested to booked, and the rate confirmation comes from Loadsmart as usual.

Bid and answer inside the 15-minute window

The posted price is below what the lane needs. The dispatcher enters her number, and the digital worker drafts the bid under the fleet's account; it goes out after she confirms. Loadsmart says it takes a few seconds to analyze a bid and answers accept or decline; it is not an auction. An accepted bid gives the carrier 15 minutes to accept the offer and confirm the booking, so Load Hub puts it at the top of her list with the time left, and she confirms. On a decline she bids again from the same card.

Run the load and get paid on Loadsmart's side

After booking, tracking, documents and invoicing run in Loadsmart's tools. CarrierGuide connects with more than 25 ELDs and tracks the load through the fleet's. The driver uploads photos and documents from the phone, and the dispatcher creates and sends the invoice there. Loadsmart documents QuickPay through TriumphPay within 24 hours of an approved invoice, and offers factoring at 2.5%. The load is marked delivered in Load Hub.

How it fits your stack

Your Loadsmart account stays the account of record. Onboarding happens on Loadsmart's side first, through RMIS: you register with MC and DOT numbers and contact details and upload a W-9, a certificate of insurance and your letter of authority. Only carriers Loadsmart has approved can book instantly, and Loadsmart says approval can take up to three days. Cargofy reads the loads your account is entitled to see and sends bids and booking requests under that account; you confirm every booking. Cargofy does not write status, POD or invoices to Loadsmart. Load data is stored in the EU (Frankfurt).
